Planning An Event Doesn’t Have To Be Hard!
No doubt once a year your company will look to put on some sort of event.They might be looking to organise a christmas party or it may be the case that there is an important seminar that lots of people will be attending. Whatever type of event is being put on, there will be a large element of organisation and forward planning that is required and if you are the person that has been asked to undertake this job it may seem like a mammoth task, especially if you haven’t had previous experience of corporate event planning. There is no need to worry as with a little forethought and a sensible checklist there is absolutely no reason why your event should run perfectly smoothly.
The first thing to consider is how many people are likely to be attending as this is likely to influence many of the major decisions in the event planning process. The first decision it is likely to impact is your budget.When you are considering how much money you are likely to spend make sure that you account for all of your likely outgoing costs.You may want to add a little extra cash to your budget in the event of any unforseen circumstances that arise.Once you have settled on a suitable budget then it is very important that you don’t exceed it as every single penny must be accounted for, especially if you are organising the event on behalf of managers.
Now you have an idea of how much money you will be spending the next task is to locate a suitable venue.Again, this should be large enough to accomodate the number of attendees you are expecting, yet at the same time not being so big as to compromise the atmosphere and make your guests feel isolated. When making up a shortlist of possible venues there are several aspects you may wish to take into account.As well as making sure the venue is of an adequate size, it should also be laid out in such a way that will be beneficial to your event as well as having adequate facilities. It would also be worth your while enquiring as to whether there are any additional services provided such as catering or entertainment as this would save you having to organise these yourself. Hotels in particular are good for these sort of services and may even be able to offer you a deal if you have lots of people attending.Another highly important aspect to consider when picking a venue is it’s location.This is especially applicable if you are organising a large seminar as it’s likely that people will be commuting from far away too attend. If this is the case then try to find a suitable venue located on the outskirts or preferably in the centre of a large town or city.
If you are intending to attract a large number of people then start all of your planning as far in advance as possible sp tjat you have plenty of time to organise your marketing.
